Generative AI has moved from experimental to essential in the span of two years. But as Australian businesses race to embed AI into their workflows, most are doing so without a coherent security framework — inadvertently exposing sensitive corporate data, client information, and proprietary IP to third-party model providers.

The Hidden Data Risk

When employees use public AI tools like ChatGPT or Copilot without governance controls, they routinely paste confidential documents, client data, and internal strategies into prompts. This data may be used to train future models, stored on overseas servers, or exposed in the event of a provider breach. Under the Australian Privacy Act, this constitutes a notifiable data breach — regardless of whether the AI provider caused it.

Building a Safe AI Framework

ACS recommends a four-layer approach to AI governance: Classification — define what data can and cannot be used with AI tools. Tooling — deploy enterprise-grade AI solutions with data residency guarantees and no training opt-outs. Policy — establish an Acceptable Use Policy for AI with clear consequences. Monitoring — implement DLP (Data Loss Prevention) controls to detect and block sensitive data leaving the organisation via AI interfaces.

Microsoft Copilot: Opportunity and Risk

Microsoft 365 Copilot is the most widely deployed enterprise AI tool in Australia. While it offers significant productivity gains, its default configuration grants Copilot access to everything a user can access — including files they should not have access to in the first place. Before deploying Copilot, organisations must conduct a full permissions audit and enforce least-privilege access across SharePoint, Teams, and OneDrive.
